Penton is seeking a Program & Sponsorship Manager to join the Lifestyle team in the Boulder, Colorado office.
Summary:
Goal of the position is to lead and execute event planning (registration, housing, logistics, budgeting, reconcile) as well as the sponsorship development and fulfillment strategy for a defined set of exhibitions and conferences in a manner that will drive the efficiency and growth of the products.
Responsibilities:
Participate in an engaged and empowered team
· Collaborate on long and short term goals for the group to support company, department and market vision
· Manage structured and unstructured communication to ensure clarity around group goals, identification of opportunities and challenges and tracking against timelines and show requirements
· Provide opportunities for growth, empowerment, accountability and cohesion of team
· Be an active participant in the Exhibition & Conference industry
· Develop an understanding of the markets we serve and deliver events inline with these communities
· Oversee and monitor work flow, adjust load as necessary and appropriately resource for scale
Manage operational and sponsorship fulfillment expenses as they relate to a given event
· Strategize opportunities with stakeholders (clients, sales team, marketing services)
· Gather competitive proposals as needed
· Negotiate with potential suppliers as needed
· Submit budget, monthly forecasts and financial information on schedule and as needed
· Control show expenses while maintaining the best possible presentation and service
· Pay applicable vendors
· Follow centralized accounting and department process
Work closely with Event Manager to deliver consistently high performing products and services
· Meet defined timelines
· Always strive to “under promise and over deliver”
· Increase opportunities for revenue and profit growth
· Collaborate on development of show policies
· Provide input for RFPs that addresses the unique needs of each event, i.e. costs, market need, program flow etc
· Communicate contract obligations and inclusions as appropriate to internal teams
· Be source for overall questions and clarification
· Develop relationships that support effective communication and exceptional results
· Evaluate vendor performance on an ongoing basis, proactively address opportunities
· Develop sponsorship opportunities for a defined set of exhibitions and conferences
· Execute client experience and sold offering in small event sponsorship opportunities (non-tradeshow events)
· Execute fulfillment and manage client service for sponsorship and exhibit hall participation opportunities, fulfillment of event marketing for tradeshow events
· Sponsors
· Manage all sponsorship production
· Manage post-sale relationship with clients, including acting as main point of contact
· Set up and manage inventory and promotional opportunities database
· Traffic logos, descriptions etc between marketing and production pieces
· Create logistics & specifications documents
· Ensure proper client listings and execution of sales inclusions/specifications
· Produce sponsorship opportunities according to requirements defined in sales documentation
· Create work orders for sponsored events and opportunities
· Create sign orders for sponsored events and opportunities
· Manage budget accordingly around sponsorship opportunities
· Set up database & website with vendor or internally , addressing show team requirements
· Manage staff log ins and access rights
· Provide day to day support for exhibitors, attendees, and staff
· Problem-solve inquiries from accounting.
· Order registration supplies
· Manage the registration requirements and process for exhibitors, staff, speakers, VIP’s, and other key groups
· Primary contact for show with vendor
· Manage onsite registration areas if needed
· Train and manage onsite staffing if needed
Education & Experience:
· Bachelors degree in related field
· 2-3 years in exhibition and conference operations and customer service
· Preference for experience in handling a variety of industries and types of events
· Strong written and verbal communication, interpersonal and customer-service skills
· Good organizational, time management, customer service and problem-solving skills
· Experience in the emedia/digital space
